Guidelines for Oral and Poster Presentation


All speakers are expected to be at their session room at least 15 minutes prior to the start of their technical session to load their presentation file on to the computer. Every presenter is also required to give the Session Chair a short resume (<100 words on a piece of paper) to introduce the presenters to the audience.

Normally a paper should be presented in 18 minutes (this includes 15 minutes presentation and 3 minutes Q&A). The allowed time is controlled by the session chair.   Do not read the paper, but present a summary with appropriate highlights aimed at inspiring the listeners to discuss and ask questions.

For a better and clearer presentation, keep your slides as simple as possible. Do not use figures or charts with many lines, numbers of long, complex formulas or expressions. Avoid using normal-sized typewritten text or hand lettering that cannot be read at a distance. Presentation slides should be readable from the back of a room (at least 15 metres).

We recommend that presenters bring their presentation files in a format compatible with one of the applications below, with the files stored in a USB memory stick. PowerPoint slides or Acrobat PDF for presentation on a data projector are recommended. There will be a volunteer in the room to assist you.

Note that all the presentation rooms will be equipped with the following items:

  • A portable computer running WINDOWS operating system, with MS-Office 2010 and Acrobat Reader.
  • A data projector and screen(s).



All poster presenters are expected to be at the foyer of the Novotel Ballroom at least 20 minutes prior to the start of the poster session to pin up the posters on the boards. There will be labels with your paper number highlighted to identify which board your poster should be located.

The poster size is to be of A1 size (84.1 cm x 59.4 cm). Poster boards and pin will be provided.
